SchoolCues is our online parent portal and Student Information System. It's the place where you'll manage your child's enrollment information, sign forms, handle tuition and payments, and receive school communications — all in one place. The platform was built specifically for small schools, by founders who were navigating school communications as parents themselves.
Yes. Every family needs at least one parent or guardian to create a SchoolCues account. If you have more than one child enrolled, one account covers all of your children. To get started, click here and use invitation code HWGCUES when prompted.
Use the same email address you currently use for school communications. If you're not sure which one is on file, contact the office at admin@heartwoodgrove.com.
The invitation code, needed when setting up your account, is HWGCUES.
Yes. SchoolCues has a free app available for iPhone (App Store) and Android (Google Play). Important: you must create your account on the SchoolCues website first — click here and use invitation code HWGCUES when prompted. Your app access is activated automatically using the email address on file — once your website account is set up, simply download the app, sign in with the same email, and it will be ready to go.
Yes, to a degree. Once you're logged in, you can adjust your notification preferences to control which types of messages are sent to your inbox. SchoolCues is designed to push information to you rather than requiring you to check a website — but you're not without options if you find the volume too high.
You’ll be asked to submit or confirm: basic family contact information, emergency contacts, your child’s health information (conditions, allergies, physician), immunization records, pick-up authorizations, and transportation/dismissal preferences. Some additional forms may apply depending on your child’s enrollment.
No. You can save your progress and return at any time before the deadline. The system will show you which forms are complete and which still need attention.
A photo taken with your smartphone works well for most documents, as long as the image is clear and legible. For immunization records, your child’s pediatrician’s office may also be able to send records directly to the school.
Some forms are designated optional by the school. If a form is optional, you may skip it using the Skip button. However, if you choose to fill out an optional form, all required fields within it must be completed.
Enter “N/A” or “Not applicable” in any required field that doesn’t apply to your situation.
No — this is one of the best features of SchoolCues. Your information carries over from year to year. You’ll only need to make updates when something changes (a new phone number, a different emergency contact, etc.).
You’ll need a profile for each child, but SchoolCues allows you to copy shared information from one child’s profile to another, which saves significant time for things like emergency contacts and parent details.
Yes. Accounts are identified by email addresses. At minimum an email address is required for one parent in order to establish the student's account in the school's information system. If a second parent address is provided to the school, then the second parent will be able to establish a separate login to the parent portal.
After the deadline, the school information system will be locked. If you need to make changes — a new phone number, a change in pick-up authorization, etc. — please contact the school office and we’ll update your record.
Yes. Tuition billing and payment are handled entirely within the SchoolCues portal. Once you’re enrolled, you’ll be able to view your account balance, make payments, and track your payment history — all in one place.
Due dates are a function of your selected payment plan. The first due date for all payment plans is June 15.
SchoolCues will automatically send you reminders ahead of your payment due dates to help you stay on time. A late fee will be applied after a 10-day grace period. The fee is $10 for installment payment plans and $25 for single-pay plans.
Yes. New enrollment agreements and tuition contracts will be presented and signed digitally within SchoolCues. You’ll receive a notification when your contract is ready for review. If you already signed a contract agreement before the implementation of SchoolCues, that contract will remain in effect and your future contracts will come through SchoolCues.
We are able to accept online payments by bank draft, debit card or credit card. Credit card payments will be assessed a fee of 3% + 30¢ at checkout.
The website’s payment page will remain available temporarily for families managing open balances during the transition, or for families who are not continuing in the fall. However, for all returning and newly enrolling families, SchoolCues is now the home for tuition contracts and payments. If you haven’t yet set up your SchoolCues account, we encourage you to do so — it’s the easier, more complete experience going forward.
Your information is accessible to authorized Heartwood Grove staff only. It is not shared with third parties. The school directory information you enter will be shared with other Heartwood Grove families according to your stated directory preferences — you control what is listed.

Yes. When completing the Family Info form, you’ll be able to indicate your directory preferences, including what information you’d like to share with other families.
Use the “Forgot Password” link on the SchoolCues login page. If you continue to have issues, contact the office.
Yes, you can edit your submissions at any time before the deadline. After the deadline, contact the school office to request a change.
Possibly, yes — especially in the early weeks as we get everything configured. We appreciate your patience as we fine-tune the settings. In the meantime, you can adjust your own notification preferences from within your account.
For platform-level issues (login errors, pages not loading, etc.), contact SchoolCues support directly at support@schoolcues.com with the subject line SIS Support.
